Vokira Privacy Policy

This Privacy Policy explains how Vokira, operated by CMARK DI COCCIOLO ALESSANDRO, processes personal data for the Vokira business assistant platform.

Data we process

  • Account and tenant data such as name, email, phone number, company data, configuration, and user roles.
  • Operational data such as conversations, WhatsApp/SMS/email messages, call logs, appointments, CRM records, orders, files, and tenant memory.
  • Voice and AI data such as recordings, transcripts, prompts, generated responses, and quality events when related modules are enabled.
  • Technical data such as IP address, session data, security events, browser/device metadata, and essential preferences.

Purposes

  • Provide tenant workspaces, communication channels, AI assistants, automations, CRM tools, documents, and integrations.
  • Connect customer-authorized services such as Meta WhatsApp Business Platform, telephony, SMS, email, CRM, and calendar providers.
  • Secure the service, prevent abuse, monitor reliability, and maintain audit trails.
  • Comply with tax, accounting, regulatory, and legal obligations.

Meta and WhatsApp data

When a tenant connects WhatsApp through Meta Embedded Signup, Vokira receives authorization codes, business identifiers, WhatsApp Business Account IDs, phone number IDs, message content, delivery status, and webhook events required to provide messaging features. Tokens and app secrets are stored server-side only.

Processors and providers

Vokira may use infrastructure, database, authentication, messaging, voice, AI, analytics, payment, and communication providers where necessary. Providers are used only when required by the platform or enabled by the tenant.

International transfers

Some providers may process data outside the European Economic Area or Switzerland. Where required, Vokira relies on contractual safeguards such as standard contractual clauses and provider security commitments.

Retention

Data is retained only for the period needed to provide the service, meet legal obligations, maintain security, and support auditability. Some retention settings may be configurable per tenant.

Connected messaging accounts

When enabled by the customer, WhatsApp Business Platform, Facebook Messenger, Instagram messaging and Telegram integrations process the selected business, Page or account identifiers, participant identifiers, message text and attachments, original timestamps and delivery events needed for that channel. WhatsApp Coexistence can also import contacts and available history after the account owner authorizes sharing. Telegram bot, Business and full-account connections are separate authorizations. Credentials and session data are kept on the server; they must never be sent in a privacy request. Connected content can be processed by the customer-selected AI service when AI features are enabled. Imported WhatsApp history does not itself trigger automatic replies.

For customer communications, the customer determines the purposes and instructs Vokira to process content on its behalf. Vokira separately determines the processing needed for its own account administration, billing and platform security. Provider permissions, disconnection and data deletion are distinct: disconnecting stops the connection and does not automatically delete stored conversations. Follow the data deletion instructions to request deletion, including the account and data scope; legally required records may be retained.

New Telegram Business connections start in manual mode. AI requires separate, explicit and informed consent from the account owner and the participants concerned for the specific chat and content. Consent is revocable and expires; imported history is excluded. Full Telegram account connections remain manual and do not send chat content to AI services.
